Why Customer Service Matters at Every Signing: 3 Tips for Notaries and Signing Agents
When a signer remembers their closing, they rarely remember the documents. They remember the person who sat across the table from them.
For many signers, the day we show up is one of the biggest days of their year. They may be buying their first home, refinancing to keep their family's finances steady, or signing a power of attorney for an aging parent. They are often nervous, short on time, and facing a stack of pages they don't fully understand. How we treat them in that hour shapes how they feel about the whole transaction.
Why customer service matters
At a signing, the notary is the face of the title company, the lender, and the signing service. The signer may never meet anyone else involved. A calm, prepared, friendly notary makes everyone behind that order look good. A late, rushed, or careless one does the opposite.
Good service also protects the transaction. A signer who feels respected and unhurried is more likely to ask questions, sign in the right places, and bring the right ID. That means fewer errors, fewer re-signs, and loans that fund on time.
And it is how a notary business grows. Title companies and signing services keep sending orders to the notaries their customers praise. Signers leave reviews, tell their friends, and ask for the same notary next time.
Here are three practical ways to deliver that kind of experience at every appointment.
Tip 1: Communicate early and clearly
Excellent service starts before you ever ring the doorbell. Signers relax when they know what to expect.
Confirm promptly. Call or text the signer as soon as you accept the assignment. Confirm the date, time, address, and every signer who needs to be present.
Tell them what to bring. A current, valid government-issued photo ID for each signer, plus anything the order requires, such as a cashier's check or a witness.
Set expectations. Let them know roughly how long the signing will take and that you will walk them through each page.
Keep everyone posted. Running late, even by ten minutes? Text the signer and update the signing service right away. A quick heads-up turns a frustration into a courtesy.
If the signer prefers another language, such as Spanish, say so to the scheduling team early so the right notary and documents are lined up.
Tip 2: Be patient, professional, and respectful
The signing is routine for us. It is not routine for the signer. Treat their time, their home, and their questions with care.
Show up prepared and on time. Arrive a few minutes early, dressed professionally, with documents printed, tabbed, and in order.
Respect their space. You are a guest in their home or office. Be courteous to family members, mindful of pets and children, and ask where they would like to sit.
Slow down. Briefly explain what each document is as you go, and never rush someone who is reading. A signing that runs a little long is better than a signer who feels pushed.
Know your role. When signers ask about rates, terms, or what a document means for them legally, don't guess. Kindly refer those questions to their lender, title company, or attorney, and offer to help them reach the right contact. Notaries cannot give legal advice, and saying so warmly builds trust.
Tip 3: Get it right and follow through
The kindest thing you can do for a signer is make sure they never have to sign again. Accuracy is customer service.
Check before you leave. Review every page for signatures, initials, dates, and notarial certificates while the signer is still at the table. Fixing a missed initial takes seconds now and days later.
Return documents on time. Scan, upload, and ship exactly as the instructions say, the same day whenever possible, and share the tracking number.
Close the loop. Let the signing service know the appointment is complete and flag anything unusual, such as a name discrepancy or a signer who had questions for the lender.
End on a thank-you. A sincere thank-you and a few words of congratulations on their new home or refinance leave a lasting impression.
Service is what signers remember
Communicate early, treat every signer with patience and respect, and follow through until the job is truly done. None of these tips require special tools. They require care, and that care is what turns a one-time signing into a repeat client and a glowing referral.
